Office Policies

Office VisitsSmall Hands

  • Please be on time for your appointment.  While it is impossible to accurately estimate the amount of time each patient will require, we make every effort to work on time.  With your cooperation, we are generally able to work within ten to fifteen minutes of our schedule.  If you will be late, please call to let us know.  If you need to cancel, you will not be charged a fee, but please respectfully provide a 24 hour notice so that we may offer another patient the appointment.
  • Scheduling check-ups in advance will allow you to obtain an appointment time and date that is most convenient for you.
  • Acute sick visits can be scheduled on that day.  Please call as early as possible so that waiting time is lessened and your child’s inconvenience and discomfort are minimized.  If you wait until late afternoon, we may have to work in the visit and possibly create a wait.  The earlier you can come, the less likely the wait!
  • Our phone lines are busiest in the early mornings and after 2:00 each day.  Please be patient and someone will help you as soon as possible.


  • We participate with most insurance companies.  The majority of our patients have Anthem Blue Cross Blue Shield, Humana, Bluegrass Family Health, and Aetna but we accept many others.  The insurance environment has become very complex; therefore, we recommend calling your insurance plan provider to verify that we participate with your particular policy. 
  • Although we will do our best to help you, it is impossible for us to know what each particular plan covers and it is ultimately your responsibility to know your insurance plan and coverage.
  • Unfortunately, we are not currently accepting Medicaid. 
  • Please bring your child’s insurance card to each visit.
  • Co-payments are due at the time service is rendered and may be made with cash, check, or Visa/Mastercard. 
  • We have two billing specialists in the office.  If you have questions regarding your bill, please call Kathy or Gail at 859-269-4604 for assistance.


  • It is our office policy to not call in antibiotics over the phone.  We feel strongly that if your child is ill and may need an antibiotic, it is in your child’s best interest to be seen by a physician first.  This is not meant to inconvenience you, simply to make the best decision for your child.
  • Most ADHD medications cannot be refilled over the phone.  Please schedule follow-up ADHD appointments prior to your medication running out.
  • If your child needs a refill of any other medication, please have the pharmacy fax a request.

Medical Records

  • Medical records can be obtained by filling out a Release of Information form (Download Form).  Please allow up to two weeks to copy charts and complete any necessary paperwork.
  • If you are transferring your child’s care to our practice, please provide copies of all previous records.   We require these records, especially the immunization certificate, prior to scheduling a well-child physical exam.
